The leadership committee and steering committee meet regularly to review, provide feedback and make decisions on work completed between meeting times to ensure the process moves forward on schedule.

RE: FY20 UAF Strategic Enrollment Planning (SEP) Initiatives


Meeting 7 - May 20-21, 2019

This meeting brought Phase II of SEP to a close. The overall scope and impact of the SEP strategies were discussed and evaluated by the steering committee. They recommended a set of strategies to the Chancellor and leadership team for consideration. 

The goals of the meetings were to

  • Review and prioritize the complete set of potential SEP strategies.
  • Discuss the comprehensive score and potential impact of SEP. 
  • Present the steering committee's strategy recommendations to the Chancellor and leadership team for consideration. 
  • Discuss implementation details. 
  • Plan for the formation of the SEP document. 
  • Plan for the next visit. 

Meeting 6 - April 15 and 17, 2019

The steering committee and leadership team met in April to vet the third wave of action plans and consider revisions to the plans previously presented. 

The goals of the meetings were to 

  • Review the third wave of action plan drafts. 
  • Discuss revisions to first and second wave action plans. 
  • Continue with early strategy prioritization 
  • Prepare for the prioritization discussions in May

Meeting 5 – March 26-27, 2019

The strategic enrollment planning steering committee and leadership teams met in late March to review the second round of action plans submitted by the working groups, discuss additional data needs and facilitate the next steps for the action plans submitted thus far.

The goals for the visit were:

  • Review the second wave of action plan drafts.
  • Discuss revisions to the first wave of action plans.
  • Continue with early strategy prioritization.
  • Identify any additional data needs at this stage of the project.
  • Confirm the third wave of strategies for action plan development to review in April.

The next steering committee meeting will take place on May 15 and 17.


Meeting 4 – Feb. 13-14, 2019

The purpose of the meeting was to review the action plans submitted by the working groups, discuss additional data needs, facilitate next steps for the action plans and identify additional strategies to investigate.
 
The goals for the visit were:
  • Review the first wave of action plan drafts
  • Identify any additional data needs at this stage of the project
  • Confirm second wave of strategies for action plan development to review in March
  • Consider strategies for a third wave of action plan development to review in April
The next steering committee meeting will take place on March 26-27.

Meeting 3 – Nov. 14-15, 2018

The purpose of this visit was to review the drafts of the situation analyses prepared by the working groups, discuss additional data needs, begin the identification of potential SEP strategies and introduce the action planning process and associated planning tools.

The goals for the visit were:

  • Review drafts of the situation analyses from each working group.
  • Identify potential strategies suggested by each situation analysis.
  • Identify additional data needs.
  • Identify the first set of strategies for full action plan development.
  • Identify action planning leads for each strategy.
  • Introduce the action planning process and tools.
  • Prepare for the next visit.

The next visit will take place on February 6-7, 2019. The steering committee will vet the first wave of strategy action plans.


Meeting 2 – Oct. 10-11, 2018

The purpose of the visit was to launch SEP with the working groups, to begin the situation analysis process, and to engage those who will do much of the work of SEP over the next several months. This was accomplished with a conference-style event, shifting between large and small-group activities. While each working group took a slightly different approach to the discussions, the quality of their output was good.

The goals of the second visit were to:

  • Launch working groups
  • Present fundamentals of SEP
  • Conduct focus-area SWOTs
  • Identify additional data needs
  • Prepare for initial drafting of working group situation analyses
  • Revise the data needs table as necessary based on data needs identified by the working groups
  • Set the stage for the next steps of the process

The launch of the working groups was a success. The groups are actively working on the situational analysis based on a SWOT analysis and data analysis due before the next visit in November.


Meeting 1 – Sept. 19-20, 2018

The purpose of the first visit was to continue the preparation stage of the SEP process, to establish a solid and consistent understanding of the SEP process among UAF’s leadership, to build the SEP organizational structures, and to begin to identify planning assumptions and key performance indicators.

The goals of the first visit were to:

  • Define the scope and expectations of SEP at UAF.
  • Define the SEP process and the objectives and timeline for the next several months.
  • Establish a baseline understanding of the mission, vision and direction of the university.
  • Begin to develop a set of planning assumptions for the project.
  • Begin to develop the key performance indicators for SEP.
  • Initiate data collection to support the project.
  • Plan for the working group launch in October.

Each of these goals was accomplished. The leadership team approved the creation of seven working groups:

  • Workforce academic programs
  • Undergraduate academic programs
  • Graduate academic programs
  • Marketing and recruitment
  • Student success
  • Finance and financial aid
  • Online programs

Drafts of planning assumptions and key performance indicators were created and will be approved during the next visit.
