Garden Reservation Contract

  1. Your reservation takes effect upon receipt of your deposit, appropriate payment, and signed contract. We prefer a credit card payment but checks are possible. (please make a copy for your records) Questions? call 474-6921.
  2. If paying by credit card, a hard copy of the authorization must be completed and submitted on your reservation form. If paying by check, the $500 deposit to cover contract violations, must be a separate check. It will be destroyed pending a final inspection of the garden. Date all checks for the date of your event. A full refund is available up to 30 days before your event, 50% up to 14 days before your event and none thereafter.
  3. A maximum of 40 cars are allowable at an event on Saturday and Sunday, 25 cars on a weekday.
  4. Pick up your parking map the week of your event and let us know where your ceremony will be taking place.
  5. Leave the garden as you found it. Flowers should be left for all to enjoy. Children should be supervised at all times. You are responsible for damage to plants, structures, and garden areas. Return anything you move (e.g. benches, rocks) to its original place. Clean up any garbage and place in the dumpster located by the barns.
  6. Fundraising events by other than GBG affiliates are never permitted.

Fee Structure: (GBG volunteer members and UAF students may negotiate costs):
• $500 refundable violation deposit (not negotiable)

• $375 for any event (includes both the garden and Rotary Pavilion) 8am-8pm, Sat or Sun (garden closes at 8pm, cleanup must be complete by that time)
• $50 for lunch event at the Rotary Pavilion, 11:30am-1:30 pm, M thru F only

• $150 for evening event at the Rotary Pavilion, 5:00 pm-8pm, M thru F only

What you get for garden and shelter rental:
• to use a beautiful garden and covered shelter for your event
• free use of the garden for wedding rehearsal during a week day not to include 11:30-1:30 or after 5:00pm. Rehersals must be scheduled. To schedule an evening rehearsal, you must rent the garden for that evening.
• use of all decks, bridges, and gazebos
• access to all public gardens, walkways and grassy areas in the garden
• water
• electrical hook up is possible in some areas
• unless weather prohibits, lawns will be mowed the week of your event and flowers deadheaded

What you DON’T get:
• the Garden all to yourself– the public is always welcome

You may:
• bring in chairs
• bring in tents that fit on grassy areas
• have music
• throw and leave real flower petals

You may NOT:( These things will result in your $500 deposit being charged.)
• leave tents, chairs, etc. to be removed the next day
• arrive early or stay later than the contract time.
• set up tents or decorate earlier than your rental contract time says
• pick flowers for any reason
• drive vehicles into the garden or on picnic area grass
• deface any GBG structures, or put tacks and staples in wooden structures
• damage any GBG garden areas
• allow children to play in pond, throw rocks, climb trees, or other similar behaviors, (notify your guests of these rules in particular). Children should be supervised at all times.
• leave garbage anywhere in the picnic or garden area, including silk flower petals
• move anything like rocks, tables, benches, etc. without returning them to their original place.
• have more than 40 cars in the parking lot on a Saturday or Sunday and 25 cars on a week day.
• park in areas not designated for parking on the provided map.

For your information, the train goes right by the garden and blows the whistle at various time during the day and evening, for a schedule of trains try calling the ARR at 458-6025.

To reserve the Garden, please fill out the GARDEN RESERVATION FORM, return it to the GBG with appropriate credit card forms or checks and signatures.
