UAF
Students going abroad:
Pre-departure
information for all UAF international
exchange and study abroad students:
Registration
Before
you leave:
Make
sure you complete your Predeparture
Checklist Form, registration
form and one Individual
Study Approval form for
each semester you plan
to be away. Please do not complete
the course information section,
this will be completed by OIP. The
forms mentioned are completed as
part of our pre-departure orientation
and are also available in the Office
of International Programs.
You
will need to complete a Release
of Information form in
order to give permission to the
OIP office to communicate with the
person(s) who may be inquiring about
you during your stay abroad. This
form also includes a Photo Release
section allowing OIP/UAF to put
any photos you may send us on the
website(s). You will also
need to see the Insurance section
below and complete one Insurance
Selection Form for
each semester you will be away.
Finally, once
your travel plans are made you will
need to complete the Travel
and Itinerary form and
submit it to the Office of International
Programs before you leave the country.
Note: All
forms mentioned in these instructions
should be submitted only to OIP!
Academic
Advising:
It
is a good idea to meet with your
advisor before you leave if you
have questions about which courses
to take when you return. This is especially
important if you are close to
graduation.
While
you’re away:
- If
you plan to stay two semesters,
your registration will be completed
for you while you are away.
- If
you would like OIP to help you
register for the semester following
your return, please send an e-mail
with detailed information indicating
which courses you would like to
take (please include the CRN numbers)
and permission for OIP staff to
register you for those courses.
OIP staff will then take your
course list to the Registrar's
Office and they will "unlock" uaonline
so that you may register for your
courses online.

Fee
payment
Before
you leave:
You
will be able to pay fees only after
you have completed registration,
your forms have been submitted to
OIP, AND POSTED TO YOUR ACCOUNT
BY THE REGISTRAR.
- Study
Abroad students pay a $100 processing
fee; tuition is paid to your host
institution or program provider.
- Exchange
Students pay for 15 UAF credits
at their normal rate (resident
or nonresident) and a $100 processing
fee. This is for 7 credits of
lower division and 8 credits of
upper division. Exchange students
must also pay the Technology Fee
($60) and the 2% network fee.
All
students must either purchase UAF
insurance, or provide proof of insurance
coverage and a completed Insurance
form to OIP to obtain an insurance
waiver, to complete fee payment.
While
you’re away:
Be
sure to make arrangements for
fee payment while you are away!
You will incur late fees if you
do not complete fee payment prior
to deadlines.

on "Student
Account" you may pay by
VISA, Mastercard or personal check.

payment deadlines correspond with
UAF semester fee payment deadlines.

Please
note that the Business Office will
no longer be issuing paper statements
(bills) for your account. You
must view "the statement" on your
uaonline screen.

Financial
Aid and Scholarships
Before you leave:
- Be
sure to inform Financial
Aid that you will be studying
abroad. This can affect the
amount of aid you receive.
- If
your program requires that you
leave prior to distribution
of Financial Aid, be sure to
complete a Financial Aid Release
Form. Financial aid will not
be disbursed in your absence
without your written authorization
on this form.
- Power
of Attorney is required for
anyone except you to pick up
your financial aid checks.
- Be
sure to request that all outside
funding sources, especially
scholarships include your name
and Student ID# and social
security number on any paperwork
detailing your award. Failure
to do this will result in disbursement
delays.
- Leave
current contact information
with Financial Aid in case they
need to contact you. Your contact
in Financial Aid is:
- If
you plan to apply for UA
Foundation Scholarships while
you’re away, please do
the following:
- Request
2 letters of recommendation
in advance.
- Request
an official transcript
before you leave to send
along with your application.
- Take
the above with you for
mailing along with your
application form (available
on the internet) and essay.
While
you’re away:
- If
necessary, make arrangements
to receive application forms
while you are away for the academic
year you plan to return. Many
forms are available on the internet; e-mail
Julie
Parshall for further information.
- When
you submit your application
for UA Foundation Scholarships,
be sure to explain that you
are abroad on a UAF sponsored
program.

Insurance
Illness and/or injury without
medical insurance can create larger
and more costly pains than you could
ever imagine. Be responsible for
your health and well-being.
Before
you leave:
- Verify
that your policy provides Medevac
in the event of illness or injury
that requires your return to
the U.S.
- Verify
that your policy provides Repatriation
of Remains in the event of your
death.
Note: If you purchase
the UAF student insurance
policy, this coverage is included
in the premium.
- For
UAF insurance information online,
please visit www.student-resources.net.
- You
must provide a predeparture
insurance selection form for
each semester you are away (this
form is part of the predeparture
meeting form packet prepared
at the meeting)
While
you’re away:
- You
must provide proof
of insurance every semester.
- If
you purchase UAF insurance,
you can purchase for the
entire academic year,
Sept.-Aug.
- If
you receive a waiver,
be sure to leave a signed
predeparture insurance
selection form with
OIP to submit with your
registration paperwork
during your absence.
Note: Some
study abroad programs provide
program insurance for student
participants. Be sure to verify
the length of coverage and make
arrangements if you plan to
travel before the program begins
or after it ends.

Receiving
Credit
When
you return:
- You
will not receive credit for
your courses until we receive
the official transcript. It
must be sent directly from the
institution you attend.
- If
you are on exchange, the
university will send it.
- If
you are on an affiliated
program, the organization
will send it.
- If
you are on an independent
program, it is your responsibility
to have it sent.
- Once
we receive the transcript, the
Director will submit a memo
via Admissions to
the Registrar outlining
courses taken and equivalent
UAF credit. Once verified by
both, credit will be posted
directly to your UAF transcript.
- If
you have specific courses to
which you need the study abroad/exchange
credits to apply you should
obtain an advising agreement
form from the Office of International
Programs. You will then meet
with the department head of
the department to which you
wish the credit to apply and
obtain their signature for the
appropriate credit conversion.
You may arrange this before
you leave to be sure all credits
will be applied to the specific
courses you need at UAF. You
may also arrange this after
you return, HOWEVER, if the
department refuses to accept
the exchange/study abroad course
as a replacement for a UAF course
you will then receive ELECTIVE
credits for the course in the
appropriate department. ALL
exchange/study abroad credits
are converted as ELECTIVE credits
unless an exchange
advising agreement is in your file.
Remember
that grades you earn abroad will
be calculated in your GPA.

Housing
Before
you leave:
Contact
Residence Life and advise them
in writing that you are on an
exchange or study abroad for the
length of your stay.
- If
you plan to return to the same
housing arrangements on campus
following your return you must
leave your deposit on file with
Residence Life. You will
not be charged another application
fee when you return.
- If
you do not plan to return to
campus housing inform Residence
Life of your intent to study
abroad and that you are requesting
the return of your deposit.
While you are away:
As
a reminder, contact Residence
life by email at housing@uaf.edu and
tell them of your return date
and that you have left your deposit
on file to ensure the same type
of room when you return.

Post Office
Before
you leave:
If
you plan to keep your post office
box on campus, you will have to
rent it. The charge is $45 per
semester and you can pay for both
semesters prior to your departure.

E-mail
While
you’re away:
- Your
email address will remain active
if you are registered for the
fall semester. It is no
longer necessary to contact
DC&C to request that your
account remain active. If
you are active in the Banner
system your email account will
remain active.
- Many
students also have other accounts
with various internet providers. Please
notify OIP of the address you
plan to use while you are away
by sending an email to fyoip2@uaf.edu and fyoip@uaf.edu.
- You
have been given an Emergency
Contact information sheet. Take
this information along with
you! After you are established
at your site university gather
the information and complete
the information sheet. Retain
one copy for your records and
fax (or e mail the information)
the other copy to OIP.

Permanent Fund Dividend
You
will need to complete and sign
an Education Verification Form
from the Alaska Department of
Revenue. You
can do this online from your remote
location PFD
forms Complete the
Education Verification Form form
and FAX it to the Office of the
UAF Registrar for processing. The
form will be verified by the UAF
Registrar's Office and will then
be sent directly to the Permanent
Fund Dividend office of the Alaska
Department of Revenue in Juneau for
you
unless you include a memo
to the UAF registrar which specifies
in writing that you want to have
the form sent elsewhere.
International
students and visitors to UAF
in F, J and H status are not
eligible to apply for the
PFD.
