Facilities Services Webshare Folders

Webshare, What is it?

Webshare Folders: A method for sharing files with Facilities Services' business partners, that uses a web browser rather than sending them as email attachments.

With Webshare:

  • remote users who do not have direct access to Facilities Services' file servers can open or download the files you post to your personal Webshare website.
  • files can be any type or size, bypassing the limitations of email attachments.
  • Remote users can't tamper with the original files posted on your site, they can only read and copy from, not write to, your folder.
  • A "Secure" folder with in your Webshare folder allows you to password protect access to files. (Useful for gaining access to important files while traveling.)

Using Facilities Services Webshare:

(These instructions are for Facilities Services Webshare account holders only. Clients need only click on the address link sent to them to access the shared files.)

Prerequisites:  To use Webshare you need:   (We create these for you.)
  • A Webshare web address link pointing to your personal Webshare site;
  • A desktop shortcut to the Webshare server folder that holds your shared files.
  1. Open your desktop shortcut  to your Webshare folder on our server "fs8."
  2. Using Windows Explorer, drag and drop files and folders into the Webshare folder.  (Do not place files in the "Secure" sub folder unless you intend to provide your username and password to your correspondent.)

  3. Now open your Webshare URL with Internet Explorer and navigate to the files or folder to be shared.

  4. Copy the current address in the Internet Explorer address bar.
              (The address will look something like "http://fs8.fs.uaf.edu/jsmith")

  5. Create an email message to your correspondent and paste (or type) the Internet Explorer address in the body of the message.

    When your correspondent  clicks on the address in the message you just sent, their browser will open and display a listing of the shared files in your folder. The recipient can then click on a file listing to download or open it.

  6. Periodically review your Webshare folder and delete any unnecessary/expired files.
