The following information is listed to clarify definitions, purposes, processes, billing, and responsibility
regarding various systems, equipment, and facilities. Items are periodically reviewed by UAF Facilities
Services management team and updated when necessary. If you have any questions or would like to add to this

ACCIDENT REPORT
Individuals involved in an accident have the responsibility to notify their supervisor immediately after
the accident has occurred. The supervisor will be responsible to report the accident to Environment
Health, Safety and Risk Management or FS Safety Officer (if a Facilities Services employee).
AIR CONDITIONERS
- Window Air Conditioning Units: Prior approval must be received from Facilities Services before a Department may purchase individual air conditioning units. Installation and maintenance for these units will be billable to the department.
- Central Air Conditioning Units: Facilities Services maintains and repairs all central air conditioners using maintenance funds.
AIR SYSTEMS/AIR COMPRESSORS
Compressed air is supplied by Facilities Services Utilities Division and runs through the campus
utilidors to provide air to labs for use in experiments as well as several buildings for building control
systems. Maintenance and repairs on all building air systems is performed by Facilities Services using
maintenance funds.
ALARMS
- DDC (Direct Digital Control): DDC monitors building systems through a computer which includes heating, mechanical, cooling and refrigeration systems. Not all buildings on campus use the DDC system. The DDC alarms are monitored by Facilities Services and all repairs required are performed using maintenance funds.
- DETEX ALARMS: These alarms are located on interior or exterior doors. The purpose of detex alarms is to discourage use of doors unless in an emergency. Once the alarm is set off, it will continue ringing until it is either reset or the batteries go dead. All repairs are made by Facilities Services using maintenance funding.
- FIRE ALARMS: Fire alarms sound when smoke or fire is detected. The UAF Fire Department responds to alarms and Facilities Services assists in resetting or repairing alarms using maintenance funds.
- MAGLOCK/FIRE DOORS: These are doors that have a magnet at the top, keeping the door shut. The magnets release if a fire alarm sounds or if someone leans against it for more than 15 seconds. These doors exist only in the Lower Dorms, Upper Dorms and Wickersham. All repairs are made by Facilities Services using maintenance funding.
- MAGNETIC DOOR HOLD OPENS: Magnets hold these doors open and release and close when the fire alarm is activated. When the fire alarm is reset, it reactivates the magnet. Initial installation of these hold opens is billable to the departments. Repairs are performed by Facilities Services using maintenance funding.
- SECURITY/INTRUSION ALARMS: Intrusion alarms are monitored by the University Emergency Communication Center and sound when there is unauthorized entry into a specific area. There are numerous intrusion alarms on campus. Installation, maintenance and repairs are performed by Facilities Services using the department account number, however, there are intrusion alarms on campus that are maintained and repaired using maintenance funds.
- SMOKE DETECTORS - NON-REPORTING: Non-reporting smoke alarms are installed in private residence units on campus. Facilities Services replaces bad detectors using maintenance funds. Any malfunctioning detectors or detectors requiring battery replacements should be reported immediately to Residence Life at 474-7247.
AMERICAN WITH DISABILITIES ACT (ADA)
Facilities Services staff arranges for the design and installation of accessibility upgrades to existing
University facilities. Many projects have been implemented and others are planned to make campus
buildings, parking lots and walkways fully accessible to disabled students, faculty, staff, and visitors.

ANTENNAS
UAF has an Antenna / Equipment Placement Policy in effect to improve the aesthetic appearance of the
UAF campus by regulating placement of antennas and other scientific equipment on buildings and
grounds. Online request form.
ANTICIPATED BID SCHEDULE
Estimated date for advertising bidding schedule for prospective contractors to bid on work through
Facilities Services Division of Design and Construction. View the Anticipated Bid Schedule.
APPLIANCES - KITCHEN
Kitchen appliances located in residential buildings are maintained and repaired by Facilities Services
using maintenance funds. Kitchen appliances located in Dining Services areas are repaired by Facilities
Services and are billed to Dining Services. Facilities Services will repair kitchen appliances such as
refrigerators or microwaves for departments, but they must supply an account number.
APPLIANCES - REFRIGERATION
Refrigeration appliances are defined as any device using Class I (CFC) or Class II (HCFC) substances as
a refrigerant and used for household or commercial purposes, including air conditioners, refrigerators,
chillers and freezers. Those appliances belonging to departments are billable to the department for all
maintenance and repairs. Refrigerators located in residential buildings are repaired using maintenance
funds.
ASPHALT
See "Streets" and "Parking Lots".
AUTOCAD
Computer-Aided Design (CAD) is an accepted tool for producing documentation required for
construction and management of facilities; it also provides for common medium of information
exchange. Autocad standards for UAF can be found online here.
AUTOCLAVES
Autoclaves are pressurized, steam- heated vessels used for sterilization. These autoclaves are located in
various labs on campus and are repaired by Facilities Services using maintenance funds.
AUTOMOBILE
See "Vehicles".
ASBESTOS
Facilities Services maintains an in- house staff of specialists to manage asbestos abatement. These
employees are state certified (licensed) abatement specialists who are trained to handle abatement of
asbestos containing materials within all federal and state regulations.

BANNERS

BBQ GRILLS
Facilities Services has 2 small grills and one large grill (on wheels). Departments must supply an
account number for the delivery and pickup of grills. The large grill must have prior approval of the
Operations Superintendent and the department must furnish all the charcoal. If the grill is not returned
clean, the department will also be charged for the cleaning. Facilities Services must deliver and pick up
all BBQ grills.
BICYCLES
Bicycles locked to anything other than a sanctioned bike racks (i.e. trees, handrails, light posts) will be
removed. See also "Bike Racks".
BIKE RACKS
Facilities Services Operations Superintendent approves all requests for new bicycle racks. Depending
on the situation, the department may be charged for the installation of a new rack. Bicycles parked or
stored inside of buildings, including entrances or exits, may impede disable persons or emergency
personnel and will be removed.
BLINDS

BLOOD BORNE PATHOGENS
Blood borne Pathogens are pathogenic microorganisms that are present in human blood and can cause
disease in humans. These pathogens include, but are not limited to, hepatitis B virus (HBV) and human
immunodeficiency virus (HIV). For cleanup of blood spills, contact Work Management at ext. 7000 as
soon as possible. See also "Custodial".
BOTTLED GAS
Facilities Services Warehouse provides several types of bottled gases. Gas cylinders can be ordered
directly through the Facilities Services Warehouse by calling 474-6142 or online here. An
account number is required for rental of these cylinders.
BULLETIN BOARDS / WHITE BOARDS
Only glass-enclosed corkboards are allowed in hallways and corridors at the direction of the UAF Fire
Department Director. Existing boards without glass are "grandfathered" until replaced, at which time
glass enclosed boards must be installed. Initial installation is billable to the department; however,
Facilities Services maintains and repairs boards after installation. Boards in classrooms, including
whiteboards, chalkboards and bulletin boards are installed, maintained and repaired using either
maintenance or classroom funding accounts. Chalk and markers are provided by the Custodial
Department at no charge.
BURGLAR ALARMS
See "Alarms".
BUS SHELTERS
Bus shelters are provided for the comfort of campus users so that they may park their vehicles and wait
in a warm environment for the Campus Shuttle bus. Bus shelters are located in the Nenana, Taku and
Wood Center parking lots. All three shelters are heated during the winter. All cleaning and repairs on
the buildings are performed by Facilities Services using maintenance funds.

CABLE TV/COMMUNICATIONS
- Cable TV is available in all student residence halls. Cable is installed and repaired locally by GCI Cable/Fairbanks. If you are experiencing problems with your cable, please contact Telephone Services at ext. 6111 or online here.
- Telephone Services installs telephone cable, category 5 data cable, fiber optic cable and many other special use cables. For questions or to submit at work request, contact them at ext. 6111 or online online here.
- Telephone Services provides Ethernet connection for Staff and Faculty. New connections maybe ordered with a standard "Telephone Service Work Request" online here. Please note that any new Ethernet connection must also be scheduled with Computing and Communications for an actual Ethernet address. Contact C & C at ext. 6564.
- Telephone Services is NOT involved in student Ethernet connections. Contact Computing and Communications to arrange for Ethernet connections at ext. 6564.
CARPETING
See "Flooring".
CARRILLON
The carillon system provides "musical chimes" that are heard on the lower campus. The speakers for
the carillon are located on top of the Gruening building. At this time, the carillon is not in operation.
All repairs are performed by Facilities Services using maintenance funds.
CEILINGS
Please do not suspend personal items from ceiling grids. All repairs to ceilings or the replacement and
installation of ceiling tiles are performed by Facilities Services using maintenance funding, unless work
is required during renovations or remodeling projects.
CERAMIC TILES
See "Flooring".
CHILLED WATER
Chilled water is provided by the Facilities Services Utilities Power Plant from a central chiller between
May and September to provide comfort cooling through the air handling systems in the following
buildings: Bunnell, Brooks, Duckering, FA/Music, FA/Theatre, Gruening, Library, Signers Hall,
Whitaker and Wood Center. All repairs and maintenance is performed by Facilities Services using
maintenance funding.
CHILLERS
Separate chiller systems provide comfort cooling between May and September for the following
buildings on campus: Butrovich, Elvey, SAR Annex, Arctic Health, IARC, Irving 1 and II, Museum,
Natural Sciences, O'Neill and the Experimental Farm buildings (AFES). All repairs and maintenance is
performed by Facilities Services using maintenance funds.
CIRCUIT BREAKERS
Facilities Services resets tripped breakers using maintenance funds, however, departments may be
charged for the time it takes to reset breakers if the cause is determined to be the user's inappropriate use
or overloading of the electrical circuit(s). Contact Facilities Services at ext. 7000 if you have questions
concerning appropriate use of circuits or additional circuit requirements.
CLASSROOMS
- Classroom Furniture: All classroom furniture, chalkboards, whiteboards and projection screens are installed and repaired by Facilities Services using special classroom funding accounts.
- VCR's & Projectors : Facilities Services does not provide nor maintain media equipment. Contact Library Information Services at ext. 7481 or online here.
- Classroom setups: Organizing classroom furniture prior to classes beginning is completed by Facilities Services using operational funds.
- Unlocking of Classrooms : Facilities Services custodians unlock all classrooms after cleaning in the morning, with the exception of smart classrooms, which are relocked by the custodians after cleaning due to expensive equipment. Individual departments are responsible for unlocking classrooms at any other time when needed.
- Smart Classrooms: Definition: A 'wired" classroom is one that interfaces in real time with other campuses. Arrangements to setup a smart classroom can be made through Facilities Services and is billable to the department. Contact Work Management at ext. 7000.
CLOCKS
Facilities Services maintains and repairs all clocks in public areas and classrooms, including all building
master clock systems using maintenance funds. Individual clocks in department offices are billable and
departments provide their own batteries.
COLLECTIVE BARGAINING AGREEMENT
The Alaska Higher Education Craft and Trades Union Local 6070 cover maintenance and operations
employees at Facilities Services, as well as others employees on campus.
COOLING TOWERS
Cooling towers are used for building cooling at the Butrovich building. Facilities Services used
maintenance funds for all repairs, maintenance and testing to ensure that adequate treatment is
performed.
COMMERCIAL REFRIGERATION
Commercial refrigeration appliances are used in the retail food and cold storage warehouse sectors.
These units use a non-typical refrigerant gas for ultra low temperatures. This type of equipment is
located in the food service areas of LT Commons, Wood Center, Arctic Health and Hess Commons.
Cold storage includes the equipment used to store meat, produce, dairy, laboratory specimens and other
perishable goods in those areas and classrooms and labs on campus. All of the equipment contains large
refrigerant charges typically over 75 pounds. Repairs and maintenance to commercial refrigeration units
are billable to departments for repairs and maintenance. The exception is made for built in units for
labs, which are repaired using maintenance funding.
COMPACT SHELVING
Compact shelving is movable shelving used to enhance space and is located in the IARC, Library,
Museum and Brooks buildings. All repairs and maintenance to the shelving is performed using
maintenance funding.
COMPUTERS
Facilities Services does not provide or repair computers for individual departments. For computer
questions, contact Computing & Communications at ext. 6564.

COMPUTER LOCKDOWNS
Lockdowns are defined as security devices used to secure computers and electronic components.
Statewide Risk Management provides lockdowns for computers at no charge. Facilities Services
charges the departments for installation only.
CONSTRUCTION
All construction at UAF is performed through FS Division of Design and Construction. For more

CUSTODIAL
Building custodians provide custodial services that include but are not limited to:
- General cleaning of offices, labs, bathrooms and all common use areas
- Trash removal (including recycled paper bins)
- Vacuuming, sweeping, wet mopping and carpet cleaning
- Provide chalk, erasers and dry write pens in classrooms
- Unlock most building and office doors in the mornings
- Window washing See also "Window Washing"
- Cleaning of upholstered furniture, scheduled as needed
- Cleaning of building entries (within 10 feet of entrance) including snow removal, trash cans and cigarette urns.
- Cleanup of blood spills - Notify Work Management at ext. 7000 as soon as possible to report any blood spills. See also "Blood Borne Pathogens".

DISABILITY SERVICES

DISABILITY ACCESS
Facilities Services staff arranges for the design and installation of accessible upgrades to existing
University buildings. Many projects have been implemented and others are planned to make campus
buildings fully accessible to disabled students, faculty, staff and visitors. Maps depicting disabled
access routes and entrances may be obtained by contacting Disability Services at ext. 7043. See also
Americans with Disabilities Act (ADA).
DISPLAY CASES
All repairs and relamping of existing display cases in building hallways is performed by Facilities
Services using maintenance funds. Requests to build or supply new display cases are billable to the
department.
DISPOSAL SYSTEMS
Garbage disposal systems can be found in several residences on campus as well as in all Dining Services
prep areas. Facilities Services maintains and repairs all garbage disposals in residences using
maintenance funding. Any problems should be reported to Residence Life at ext. 7247. Facilities
Services repairs disposals in Dining Services food prep areas using a dining services account. For
repairs to these disposals, contact Work Management at ext. 7000 or submit a work request online
here.
DOORS AND LOCKS
Use of outside sources to repair or change any doors or locks on campus is strictly prohibited.
Facilities Services performs all repairs and maintenance to building doors campus wide. Door or lock
malfunctions should be reported to Work Management at ext. 7000 or online here.
Card Readers or Swipes:
- Polar Express card readers are installed using funding from UAF Polar Express. All repairs are performed by Polar Express except for the stand alone units located in Schaible Auditorium, Rm 611 Gruening and Rm 506A Elvey, which are repaired by Facilities Services using maintenance funding. You can contact Polar Express at ext. 7657.
- All card swipe units other than Polar Express are billable to the department.
Combination Locks:
- Classrooms: New installation of combination locksets is billable to the department, but repairs and combination changes are performed by Facilities Services using maintenance funding.
- Office and Residence Life Rooms: Installation and repairs to combinations locks is performed by Facilities Services and billable to the departments.
Recores:
All re-keying of door locks is performed by Facilities Services and is billable to the requesting
department. Submit a work order online or contact Work Management at ext. 7000 for more information.
Keys:
The Issuance of new or replacement keys is performed by the Facilities Services Key Issue Office.
Office hours are 9:00 - 3:30 Monday - Friday. Or request services online here.
PIN (Personal Identification Number) and Access Codes:
All changes and additions of PIN's are performed by Facilities Services using maintenance funds.
Requests for changes are to be routed through the FS Key Issue office to ensure that proper paperwork is
completed.
DRAINAGE SYSTEMS
Drainage systems include roof drains, storm drains, sewers and floor and sink drains. All maintenance
and repairs to drainage systems is performed by Facilities Services using maintenance funds, with the
exception of floor drains in Dining Service locations. Repairs to those drains are billable to Dining
Services.

ELECTRONIC WORK ORDER REQUEST FORM (EWORF)
Electronic work order requests are the preferred method for submission of work order requests to
Facilities Services. By using this electronic form you receive an email confirmation when your request
is received, a second email when a work order number is assigned to the request and a final email when
the work order is closed. With the work order number, you are able to research the work order online to
see work performed and charges accrued. The EWORF system can be found online here.
ELEVATORS
- All elevator trouble should be reported to Facilities Services Work Management office at ext. 7000 or online here. After hours calls will route through University Emergency Communications Center, who will contact the appropriate personnel.
- Relamping of lights in elevators is performed by Facilities Services.
- Items dropped down the elevator shaft will be retrieved when the contractor is scheduled for an on site call to campus. If the item must be retrieved prior to that, a $150.00 call out fee will be charged to the requestor. An exception is made for dropped keys, whereas the contractor will be called out and no fee will be charged for the retrieval.
EMERGENCY PHONES
Emergency telephones are located in strategic locations around campus and are used for any emergency
situation. These telephones ring into the University Emergency Communications Center and are
responded to by the UAF Police Department. Facilities Services Telephone Utilities Division installs
and repairs the phone systems and Facilities Services maintenance repairs all other components of the
system (blue lights, etc). See the campus map for telephone locations.
EMERGENCY LIGHTS/EXIT SIGNS
Emergency lights are provided in all campus buildings to supply short-term lighting to occupants in case
of power failure. Emergency exit signs are placed at all building exits to provide direction for quick and
safe exit of building occupants during an emergency. Facilities Services perform all maintenance and
repairs using maintenance funds.
EMISSIONS TESTING
Federal and State regulations require all UAF vehicles to undergo an emissions test every two years. All
UAF vehicles are scheduled and tested by Facilities Services Vehicle Repair shop. For more
information call Work Management at ext. 7000.
ENGINEERING
Facilities Services has Electrical and Mechanical Engineers on staff to provide technical assistance to
Maintenance and Operations staff.
ENVIRONMENTAL ROOMS/CHAMBERS
Environmental chambers are defined as controlled temperature environments and are used in campus
research. All repairs and maintenance is performed by Facilities Services. Environmental chambers that
have been "built" into the building are repaired using maintenance funds. Repairs to individual units
(incubators, etc) are billable to the department
EQUIPMENT
Facilities Services maintains a variety of heavy equipment which is used in providing many campus
services, including grading, excavations, demolitions, street sweeping, asphalt repairs, ice and snow
removal and sanding. Equipment is also available to assist departments in moving large items and
equipment and would be billable to the requesting department. For more information contact Work
Management at ext. 7000.
ESTIMATES
Facilities Services will provide written cost estimates for departments upon request. This includes work
for which the department may be fiscally responsible such as moving offices, installing furniture, etc.

ETERNAL FLAME (HERITAGE LAMP)
Heritage Lamp and Park were built in 1976 and are located between the Lola Tilly Commons and South
Chandalar. The lamp, called a naniq, is a gas-powered sculpture of a traditional Eskimo seal-oil lamp.
The lamp sits in the middle of a circular park surrounded by benches. This lamp is traditionally lit
during commencement, the beginning of the school year and upon special request. For more
information or to request a special lighting, contact University Relations at ext. 7581.
ETHERNET
Ethernet is used for networking communications - Internet installation. Telephone Utilities provides
installation of Ethernet. All requests for Ethernet connections must be made through Telephone Utilities. See also "Cable TV/Connections".
EXCAVATION
No excavation on campus grounds shall be performed without the prior approval and under the
supervision of the Facilities Services Operations Superintendent. For more information, call Work
Management at ext. 7000.
EXPEDITOR SERVICES
Expeditor services are performed by the Facilities Services Warehouse to procure supplies and materials
for Facilities Services activities. For more information, contact the Warehouse at ext. 6142.
EYEWASH/SHOWER STATIONS
Emergency eyewash and shower stations are located in many classrooms, labs and utility rooms
throughout campus. Repairs to existing eyewash and shower stations are performed by Facilities
Services using maintenance funds. Environment Health , Safety and Risk Management test all stations
yearly. Contact them at ext. 5413 for more information on testing or to request
installations.

FACILITY MODIFICATIONS
Any changes to a room or building that may or may not change the building structure (including the
installation of electrical outlets) require that a facilities modification be performed. The users or
occupants of the specific space must submit a work request and select the proper
coding for a Facilities Modification to ensure the request is designated as such. For more information
contact Work Management at ext. 7000.
FANS
See "Fume Hoods/Exhaust Fans".
FAUCETS
All repairs to sinks and faucets are performed by Facilities Services using maintenance funding.
Removal of existing faucets and sinks or installation of any and all plumbing fixtures requires prior
approval of Facilities Services through the Facility Modification process. For more information contact
Work Management at ext. 7000 or submit a work request online.
FENCE/GATE/BARRIERS
Repairs to fences, gates and barriers are normally performed by Facilities Services using maintenance or
operations funding, however, there are exceptions. All requests must be authorized by the Facilities
Services Maintenance or Operations Superintendents prior to any work being performed.
FIRE PROTECTION
In case of a fire, pull the fire alarm, evacuate the building immediately, and then call "911".
- Fire extinguishers are installed in elevator and mechanical room's campus wide. Contractors complete a yearly inspection and perform any needed repairs of fire extinguishers.
- Fire Sprinklers are installed to allow occupants safe passage out of a building during a fire. All modifications, repairs and testing are performed using maintenance funding unless they are being installation or modified under a construction project. See also "Alarms".
FLOORING
Facilities Services performs all flooring repairs and installations campus wide. Flooring types include:
- ceramic tiles
- linoleum
- wood flooring
- carpet and carpet squares
The replacement of flooring in public areas of supported buildings is prioritized by building and
completed as funding permits. Public areas receive first priority for such funding. The Maintenance
Superintendent or his designee reviews requests for replacement of flooring in nonpublic areas, such as
department offices, on a case-by-case basis. Installation of flooring by anyone other than a Facilities
Services employee or contractor hired by Facilities Services is strictly prohibited.
FLOWERS
See "Landscaping".
FOOD SERVICE
Repairs to food service equipment (stoves, refrigerators, Gaylord systems, freezers, ice machines etc)
are performed by Facilities Services and are billable to Dining Services.
FUEL
Facilities Services provides:
- Gas and Diesel: are available from fuel pumps located in the Physical Plant parking lot V2. Gas cards for UAF vehicles are available from the Facilities Services Warehouse. Contact them at ext. 6142.
- Propane to labs for equipment. Repairs and maintenance to propane piping is completed by Facilities Services using maintenance funds. See also "Propane".
- Heating Oil is delivered to buildings by a vendor contracted through the Facilities Services Warehouse.
FUME HOODS/EXHAUST FANS
To ensure proper ventilation and the safe conduct of laboratory experiments, laboratories are equipped
with fume hood exhaust fans. These systems use fans to draw fumes and gases under a fume hood and
out through roof stacks on the building. There are three types of exhaust system configurations: 1) a
single central fan that draws air from all fume hoods located in a building; 2) multiple fans that exhaust
air from two or more hoods and; 3) dedicated fans and duct work for use where exhaust from different
sources cannot be mixed. Small exhaust fans are also used in kitchens and bathrooms of Residence
buildings. All repairs and maintenance is performed by Facilities Services using maintenance funds.
FURNITURE
- Department and office furnishings are the responsibility of each department and all requests for repairs and installation are billable to the department.
- Residence Life provides all furniture for housing facilities and the Residence Life Director must authorize all requests for repairs to that furniture.New classroom furniture is purchased by Facilities Services using a special classroom furnishing account. Facilities Services inspects and rearranges classroom furniture, including podiums, prior to each semester, replacing furniture as needed. Facilities Services, at the request of Disability Services, also installs special ADA furniture upon request.

FURNITURE LOCKS
Replacements for locks on cabinets and other furniture are billable to the requesting department.
Facilities Services lock shop can fabricate some types of keys but others must be special ordered.

GAYLORD SYSTEM
Food Services use a duct washing system called a "Gaylord " that sprays soap and extremely hot water
into the ductwork above fat fryers, grills and ovens to remove built up grease. Repairs to this equipment
are performed by Facilities Services and is billable to Dining Services.
GENERATORS
Vehicle shop transports and refills.
Electric shop repairs, tests and ensure transfer switch is operable.
GLASS/GLASS REPLACEMENT

GRAFFITI
Graffiti should be immediately reported to Facilities Services at ext. 7000.
Every effort will be made to remove it as quickly as possible. Scheduling of the work will depend on
staff workload and weather conditions. The cost for removal is covered using maintenance funds.
GROUNDS
Facilities Services provides snow removal on walkways, steps, stairs, streets, parking lots and all
handicap areas. We also provide heavy-duty equipment and operators to remove snow from streets and
parking lots and the sanding of streets and parking lots campus wide. In the summer months, the
grounds shop provides a variety of landscaping services campus wide. See also "Landscaping".

HAZARDOUS MATERIALS
Environmental Health, Safety and Risk Management coordinate hazardous waste disposal, procedures
and policies. Please do not dispose of hazardous waste in receptacles, containers or
dumpsters provided for normal day-to-day refuse collection. By law, such items including batteries, ink,
solvents or electronic parts must be disposed of separately. Refer to the website or contact them at ext.
5413 for more information.
HEAD BOLT OUTLETS (HBO'S)
Head bolt outlets are provided to faculty, staff and students to keep cars warm during the cold weather
months, Head bolts are located in all parking lots and on the buildings at the McClean House (Inupiat),
Harwood Hall and Garden Apartments. Most head bolts are marked with an identifying number that
should be noted when reporting problems. All repairs to electrical outlets and head bolt railings are
performed by Facilities Services using maintenance funds. Schedules and Notices for

HEATING/VENTILATION
All buildings on campus are heated using a glycol and/or hot water heat system with the exception of the
Eielson building, which is heated with steam. The systems may utilize radiant heat i.e.: baseboard or
unit heaters, hot air systems or a combination of both. The majority of the systems used non-toxic
propylene glycol dyed yellow or ethylene glycol dyed pink. The standard heating season is from
September to May, although actual temperature projections will determine the beginning and end of the
seasons. Heat is provided to maintain interior temperatures within the recommended range of 68
degrees.
All building heat systems are repaired using maintenance funds and any problems should be reported to
Work Management by submitting a work request online or in emergencies at ext. 7000.
HOUSEHOLD APPLIANCES
Household appliances located in residence buildings are repaired or replaced using maintenance funds.
Household appliances in offices and labs such as refrigerators or microwaves are billable to the
departments for any repairs or replacement.

HOSE BIBS
Hose bibs are outdoor water spickets located on the exterior of many campus buildings and require a
special key to operate them. Hose bibs are primarily used for exterior watering of plants and lawns
during the spring and summer months and are maintained and repaired by Facilities Services using
maintenance funds.

ICE MACHINES/ICE MAKERS
Ice makers are commercial refrigeration units used to produce ice; ice machines are equipment used to
store ice and keep it cold. There are machines located in the Dining Services areas and in several labs
on campus. Repairs to these machines are performed by Facilities Services and are billable to the
departments. See also "Commercial Refrigeration".
INCINERATORS
Incinerators are furnaces used to burn animal carcasses and contaminates. The only incinerator on
campus is located in the Arctic Health Research Building. All maintenance and repairs in this
incinerator are performed by Facilities Services using maintenance funds.
INCIDENT REPORTS
Incident reports must be completed for incidents where an injury occurs or there is damage to property.
These reports must be completed by the employee, employee supervisor and applicable safety officer
(Environment Health, Safety and Risk Management or Facilities Services) and may be obtained from all
Supervisors at Facilities Services, as well as the Personnel/Payroll and Work Management offices. This
report provides additional protection for the employee to document all events that result in an injury,
particularly if there are complications in the future.
INDOOR AIR QUALITY
The Industrial Hygienist at Environment Health, Safety and Risk Management monitors indoor air
quality. Any concerns or questions about air quality, unusual odors or persistent stuffiness should be
directed to that department at ext. 5812.
INSURANCE
The University of Alaska is covered for property and liability exposures through a combination of selfinsurance
and excess insurance programs with large deductibles. Losses that fall within these deductible
levels, including those for which the university is contractually liable, are covered by the financial
resources of the university and are administered under the university's self-insured claims program.
Departments are required to file individual claims through Statewide Risk Management.

KILL TANKS
Kill tanks are large tanks used to collect viral waste products. These tanks are heated by a boiler that
kills and sterilizes the viral waste products. There are two kill tanks located in the Arctic Health
Research Building. All repairs and maintenance are performed by Facilities Services using maintenance
funds.
KILNS
Kilns are defined as furnaces or ovens used for drying, burning or baking art items such as pottery.
There are several electric kilns located in the Fine Arts Building and one wood burning kiln located
outdoors at the Agricultural Farm. Repairs to existing kilns are performed by Facilities Services using
maintenance funds. The cost for installation of new kilns is billable to the department.

LANDSCAPING
UAF has approximately 60 annual and perennial flowerbeds throughout campus that are planted and
maintained by Facilities Services. We have a horticulturist on staff, which along with other staff
members and students design, plant, and transplant flowers campus wide. Volunteers assist by planting
many flowerbeds along with other UAF staff members during the annual "Flower Planting Day".
Facilities Services also plants lawns, trees and shrubs in the spring, maintaining all of the landscaping
throughout the summer and fall. Pest management on flower beds, lawns, trees and shrubs is also
performed by Facilities Services

LIGHTING
Facilities Services maintains both interior and exterior building lighting as well as parking lot and street
lighting, using maintenance funds with the following exceptions:

- Full spectrum lighting: Facilities Services Hazardous Materials department will arrange to collect any used light bulbs from campus departments free of charge. Please contact them at ext. 5487.
LIQUID NITROGEN PLANTS
Liquid Nitrogen Plants are used to create liquid nitrogen for use in classrooms and labs. There are two
liquid nitrogen plants located in the Natural Science Facility and one plant is located in the Arctic Health
Research Building. All maintenance and repairs are performed by Facilities Services; however, costs for
repairs are billable to the departments.

MASTER PLANNING
The UAF Master Planning Committee is an advisory committee to the Chancellor. The responsibility of
the committee is to make recommendations to the chancellor that implement and continually update the
current UAF Campus Master Plan. This requires consultations with university and the Fairbanks
community with careful consideration of changes proposed for the campus facilities, land, use and
physical environment.
METAL FABRICATION
Facilities Services has the capability to perform sheet metal fabrication using a wide variety of metals
for research, maintenance and construction projects. All requests are billable to the department. A work
request must be submitted prior to any work being performed. Click to submit a work request online.
MOVING SERVICES
Facilities Services provides a variety of moving services for all campus departments at both on and off
campus locations. These services include moving or rearranging of office furniture, relocation of
supplies, excess materials and lab equipment. We also provide the setup and takedown of tables and
chairs for special events. All services are billable to the department and a work order request must be

PAINTING
Painting in academic buildings is performed by Facilities Services and all requests must be approved in
advance by the Maintenance Superintendent prior to scheduling. Click to submit a work request online.
- Requests for painting in areas where the paint is 10 years or older is performed using maintenance funding.
- Requests to change the paint color in areas that do not require new paint are billable to the department.
- Color swatches are provided to requestors and are limited to the colors provided.
Painting in Residence Life buildings if performed by Facilities Services as follows:
- All common areas in Residence Life buildings are painted yearly in the summer.
- Painting in Residence Life rooms is performed once a year.
- Painting in houses is performed between unit occupants.
PAPER
- UAF Printing Services: Departments using the copy pool must purchase white paper through Printing Services. Contact them at ext. 7316 or online here.
- Facilities Services Warehouse: Facilities Services Warehouse provides colored copy paper, white printer and fax paper and tractor feed paper. Order online here or at ext.

PARKING LOTS
Parking lots are provided throughout campus for the convenience of all faculty, students and staff. There
are also parking lots available that provide shuttle service throughout campus. Those lots are the Taku
and Ballaine lots located on Taku Drive and the Nenana lots located on Tanana Loop. All repairs and
maintenance to parking lots including patching, painting, snow removal, sanding and cleaning, are
performed by Facilities Services using maintenance and operations funds. See also "Grounds, "Snow

PERFORMANCE STANDARDS & BEST PRACTICES

PEST CONTROL
Facilities Services contracts with a professional exterminating company to treat areas where problems
occur. The Custodial Contract Administrator administers this contract. This includes silverfish, voles,
bee or hornets nest, squirrels, etc. All pest problems should be reported to Work Management at ext.
7000 or by work request online.
PLAY GROUNDS
Playground equipment is located in the following areas on campus: Chatanika-Bunnell Daycare, Hess
Village, MacLean House and at Chandalar and Tanana Drive. Repairs are performed by Facilities
Services using maintenance funding. Sand and pea gravel for sandboxes is normally provided using
Operations funds, however, prior approval must be made by the Operations Superintendent.
POWER SYSTEMS
Electrical power for UAF is provided by the Facilities Services Utilities Division Power Plant. Power
for off campus sites is provided by Golden Valley Electric Association. In the case of a loss of electrical
generators on campus, camp us power may be switched to Golden Valley Electric Association.
PRESCRIPTION EYEWEAR
Facilities Services employees requiring prescription safety glasses must submit a request form
and wait for approval prior to purchase.
PRESSURE VESSELS
A pressure vessel is any container that has pressure that is different than atmospheric pressure. Any
container that has the potential to pressurize should be considered a pressure vessel. These containers
hold liquids, vapors or gasses. All repairs to pressure vessels are performed by Facilities Services using
maintenance funding.
PREVENTIVE MAINTENANCE
Preventive maintenance is the scheduled inspection, adjus tment and minor repair of equipment to avoid
major or emergency breakdowns. All major building equipment and vehicles are scheduled for periodic
preventive maintenance through an automated work order database.
PROPANE
Facilities Services Warehouse contracts with a private vendor for the delivery of propane, which is
provided for use in various labs on campus. Any reports of propane smells should be directed to the
University Fire Department at ext. 7721, Environmental Health, Safety and Risk
Management at ext. 5487, or Work Management at ext. 7000.
PUBLIC ADDRESS (PA) SYSTEMS
Public address systems can be found in the following campus buildings: Fine Arts Music, Patty Gym,
University Park, Whitaker (Fire Department), Irving 1 and Elvey. All repairs and maintenance are
performed by Facilities Services using maintenance funding.

REAL ESTATE
Real Estate Management is responsible for the management of properties used for educational or
research purposes. This includes the management of leases of non-UAF properties, property leases by
UAF, including payment of rent and operating cost reimbursements to owners of land, and building
space and lease operations for UAF owned property, including easements, occupied by non-UAF users.
They have the responsibility of processing rent and other lease payments and the planning studies.
RECYCLING
UAF highly encourages campus wide recycling of paper, aluminum and glass.
Environmental dumpsters for paper products are located throughout campus; blue recycle paper trashcans are available in most classrooms and offices on campus.
To request blue recycle paper trashcans for your office, contact Facilities Services at ext. 7000.
Recycling of aluminum cans and glass is provided by the Associated Students UAF. Students will collect recycled cans from departments upon request. A recycle bin for glass bottles is located in the Taku parking lot. For more information on cans and glass, contact

REFRIGERATORS

REFUSE
Facilities Services provides regular trash removal from dumpsters on Monday, Wednesday and Fridays.
Recycle paper dumpsters are emptied on Tuesdays and Thursdays. Facilities Services also provides
daily trash and litter pickup. This includes the cleaning of grounds and removal of trash in small trash
cans throughout campus. To request additional dumpster service, contact Work Management at ext.
7000.
REMODELING & RENOVATIONS
Requests for renovations or remodeling in campus buildings must be made through the Facility
Modification process. Any change in the structure or use of a room, including but not limited to
replacing or installing new electric outlets, must go through this process. You may request this service
by submitting an electronic work request and ensuring you add the information for
"Space Changes". For further information contact Work Management at ext. 7000.
RENTALS

REQUEST FOR PROPOSALS
A Request for Proposal is an offering to consultants or contractors to provide a bid or proposal with a
monetary amount for providing goods or services to the University. Request for Proposals can be found
at Facilities Services Design and Construction office.
REVERSE OSMOSIS (RO) WATER
Reverse osmosis is the process in which purified water is obtained from a salt solution. Water passes
through a semi permeable membrane under pressure. RO water is provided to labs on campus by the
Facilities Services Utilities Division. All repairs and maintenance on RO water systems is performed by
Facilities Services using maintenance funding.
RIFLE RANGE
- Indoor Range: The indoor rifle range is located in the Patty Gym.
- Outdoor Range: The outdoor rifle range is located off Farmers Loop Road behind Ballaine Lake.
Facilities Services provides the majority of repairs and maintenance using maintenance funding;
however, some repairs or renovations may be billable to the department. All work requests must have
prior approval by the Maintenance or Operations Superintendents prior to scheduling.
ROOFS / FLASHINGS / GUTTERS
Repairs to roofing, flashing or gutters are performed by Facilities Services using maintenance funds.
Roof problems should be reported to Work Management through a work request online or
in emergencies, at ext. 7000.
RURAL AND REMOTE CAMPUS SITES
Several remote sites for the University of Alaska are maintained by UAF Facilities Services and include
the following: Bristol Bay (Dillingham), Chukchi (Kotzebue), Kuskokwim (Bethel), Northwest
(Nome), Tok, Yukon Flats (Ft Yukon), Nenana, Seward Marine Center, Toolik Field Station, Kodiak
FITC and Palmer AFES. Questions regarding these remote campuses should be addressed to the
Facilities Services Design and Construction office at ext. 5299.

SAFETY TRAINING
The Facilities Services Safety Officer provides or schedules all safety training for
Facilities Services staff. All other campus faculty and staff members may schedule safety training
courses through Environment Health, Safety and Risk Management at ext. 5413.
SANDING
Facilities Services provides traction control by sanding all campus streets, parking lots, walkways,
handicap ramps and stairs. Contact Work Management at ext. 7000 for any areas that may require
immediate attention.
SECURITY ALARMS

SHOWERS
UAF has numerous shower facilities located throughout the campus in both academic buildings as well
as in residences and dorms. All repairs to plumbing fixtures, tiles or grouting are performed by
Facilities Services using maintenance funding. For work requests in Residence buildings, contact
Residence Life at ext. 7247. To place a work requests in an academic building, submit an online work
request.
SHUTTLE BUSES
Facilities Services Transportation Services department provides a full shuttle bus service during the
academic year and a reduced service during the summer months for all students, faculty and staff.
Arrangements may also be made to provide shuttle service for disabled persons by contacting

SIDEWALKS
All repairs and maintenance, as well as cleaning, sanding and snow removal to campus walkways are
performed by Facilities Services using maintenance or operations funding.
SIGNS
Exterior Street/Parking/Directional Signs:
All exterior street, parking lot and directional signs are installed and maintained by Facilities Services
using operations funding. Approval must be received from the Operations Superintendent prior to any
installation.
Interior Building Signs:
- All directional and room signs are fabricated and installed by Facilities Services using maintenance funding to ensure consistency and to meet regulations.
- All directories are fabricated and installed by Facilities Services using maintenance funding and are of a standard design.
- Desk nameplates, business hours signs and signs for fabric dividers are provided and installed by Facilities Services and are billable to the department.
Exterior Building Signs:
Facilities Services installs and maintains all exterior building signs. Signs must be approved in advance
by the Operations Superintendent. Most signs are provided using maintenance or operations funding,
however, there are some instances when these signs may be billable to a department.
Street Banners:
Banners are provided by University Relations and are installed by Facilities Services using operations
funding.

SINKS

SKI TRAIL
UAF ski trail lights are activated from dusk until 9:00 pm daily during winter months. Facilities
Services maintains and repairs these lights using maintenance funding. Trail maintenance is performed
by Facilities Services using Operations funds. Relamping of trail lights occurs in the spring only. All
requests for repairs or changes should be directed to the Superintendent of Operations at ext. 7000.
SNOW REMOVAL
Facilities Services performs snow removal campus wide using operations funding. This includes snow
removal on streets, parking lots, walkways, stairs and handicap access ramps. Snow removal on roofs
is performed by Facilities Services using maintenance funds.
SPACE PLANNING & MANAGEMENT
Space planning and assignments are provided by the Space Planning and Management Office. For on
campus space needs, contact ext. 6340. For off campus space needs, contact
Real Estate Management at ext 5780. See also "Real Estate".
SPECIAL EVENTS
Facilities Services is available to assist you with special events both on and off campus. Departments
must submit a work request in advance, including an account number. Facilities
Services is able to provide tables, chairs, table skirting, podiums and a variety of other items to assist
you in your special event. There is a cost for delivery, but no rental charges. Contact Work
Management at ext. 7000 for more information.
STEAM
The Eielson building is the only building on campus using steam heat. Steam is provided by Facilities
Services Utilities Division Power Plant. Repairs to steam heat are performed by Facilities Services
using maintenance funding. Report any problems by submitting a work request online.
STREETS
Repairs to campus streets, including patching and painting as well as snow removal, sanding and
cleaning, are performed by Facilities Services using maintenance and operations funding. Report any
problems to Work Management at ext. 7000. See also "Grounds" and "Snow Removal".
STORAGE
Storing unused or surplus items in hallways or corridors is considered fire and safety hazards and is
strictly prohibited. Requests for Facilities Services to remove excess or surplus items may be made by
work request and is billable to the department. You may also contact Central
Receiving at ext. 6139 for additional information on collection of
surplus items at no charge. To obtain additional storage off campus, contact Facilities Services Real
Estate Management at ext. 5780 or online here.
SWIMMING POOL
Patty Center has the only swimming pool on campus. Repairs to the pool are performed by Facilities
Services using maintenance funding. This includes repairs to ceramic tiles, relamping, repairs to the
motors and pumps and controls. Questions regarding the use of the pool should be directed to the
Athletics and Recreation Dept at ext. 7205.

TELEPHONE SERVICES
Campus wide telephone service is provided by UAF Telephone Utilities. Installation and
repairs may be placed by submitting a work request or for
emergency service, call ext. 6111. Be prepared to provide your department account for billing. See also
"Cable TV/Communications".
TRANSPORTATION
Facilities Services Transportation Services Division provides shuttle bus service during the academic
year, with limited service during the summer months, for all students, faculty and staff. There is a
shuttle provided for disabled persons and shuttle rentals for special events. Vehicle rental contracts for
campus users are also available. Contact ext. 6857 for additional information.
TRASH

TRAINING
All training requests for Facilities Services staff will be routed through the Personnel/Payroll office for
approval prior to scheduling. Training request forms are located in the forms register outside of the
Personnel/Payroll office at Facilities Services.
TRAVEL
All requests for travel within Facilities Services may be requested using the travel request form located
in the forms register outside the Personnel/Payroll office at Facilities Services.

UNINTERRUPTED POWER SOURCE (UPS)
UPS systems are used to provide continuous electrical power supply to computers and other electrical
equipment during a power surge or outage on campus. Repairs to these units may be performed by
Facilities Services and would be billable to the department.
UNSAFE CONDITIONS
Unsafe Condition reports are available at Facilities Services from all shop supervisors as well as the
Personnel/Payroll and Work Management offices.
UTILIDOR
Utilidors are a series of underground tunnels that carry water pipes, electrical cables and other utility
systems to various buildings on campus. Facilities Services Utilities Division completes most of the
maintenance and repair required in utilidors. For more information, contact the Power Plant at ext. 7351.
UTILITY BILLING
Facilities Services Division of Utilities is a recharge service center that provides
electricity, steam, water and sewer to the campus. Utilities personnel maintain the power plant and the
utility distribution system.
UTILITY OUTAGES
Campus outages requiring the shutdown of any utility in all campus buildings are posted by Facilities
Services 72 hours prior to any scheduled outage. These notices are available by email to all campus
users or visit us online here to view scheduled outages.

VACUUM SYSTEM
Vacuum systems are available in many labs on campus. Repairs and maintenance for central laboratory
vacuum systems in performed by Facilities Services using maintenance funds.
VEHICLES
Facilities Services Vehicle shop performs the following services to UAF owned and
leased vehicles:
- Preventive maintenance
- Scheduled and unscheduled repairs
- Emissions testing

VENDING MACHINES
Vending machines located throughout campus are provided by a local vendor. These vending contracts
are maintained by Dining Services. They can be reached at ext. 6661.
VENTILATION SYSTEMS
In many buildings, heating and cooling are distributed as air forced through the ventilating systems. All
ventilating systems have fresh-air intakes and have been set to conserve energy and optimize occupant
comfort levels. The ventilation systems run 24 hours a day while the building is occupied. Facilities
Services is responsible for the proper operation of building ventilation systems and maintenance and
repair requests should be directed to Work Management by submitting a work request online.

WALLS
Facilities Services using maintenance funding to perform normal repairs to interior and exterior building
walls. Requests to change the structure of any walls must go through the Facility Modification process
by placing a work request online.

WATER FOUNTAIN
Repairs to all water fountains campus wide are performed using maintenance funds. Notify Work
Management of any problems with water fountains. Work request online.
WATER TREATMENT
Wastewater treatment is performed by the Facilities Services Utilities Division.

WINDOWS COVERINGS
Drapes: Drapes and curtains are no longer purchased, maintained or cleaned using maintenance funds.
Drapes do still exist in the FA/Art wing drawing room, Schaible Hall, Theatre and Signers Hall.
Levelor Blinds:
- Facilities Services will install blinds in classrooms using maintenance funds.
- Offices that have never had blinds must provide a department account for the initial purchase and installation.
- Facilities Services will repair or replace any existing blinds using maintenance funds.
WINDOW WASHING
Window washing is contracted out by the Custodial Department and is performed yearly, usually in
August. Building schedules can be obtained from the Custodial Department, ext. 6772.
WORK REQUESTS AND WORK ORDERS
To ensure that all requests for services are documented, work is completed and historical information
obtained, we ask that all requests for emergency and scheduled work as well as special services, come
through the Work Management office. Once the request is received, we assign responsibility to the
appropriate trades for completion.
The preferred method for submitting work requests is the Electronic Work Order Request Form
(EWORF). By using this electronic form, you receive an email
confirmation when your request is received in our office, a second email with the work order number
assigned to your request, and a final email when the work order is closed. With the work order number,
you are able to research the work order online to see work performed and charges accrued. Other
methods of submitting work requests are by faxing them (ext. 2481) or calling our office (ext. 7000).
