Videoconferencing: Setting Up a Conference With a Remote Site

Follow these steps to set up a videoconference with one or more remote sites.
- Get in touch with your remote site(s) by phone or e-mail and establish a date on which you'd like to set up a videoconference.
- Seven days before the target date for your videoconference, send an e-mail
to video@alaska.edu (preferred) or
call Video Conferencing Services at 450-8390 (or 1-800-910-9601). Provide
the following information:
- Event Contact Person: (include an email address/phone number)
- Event Moderator: (include an email address/phone number)
- Event Name:
- Event Date(s):
- Event Start/End Time:
- Primary Event Location: (include campus, building name and room number where applicable)
- Connecting Locations: (include campuses, building names and room numbers where applicable)
- Sponsoring MAU:
- Administrative or Academic Event?:
- VCS will make the arrangements for the conference, including contacting remote sites, arranging for rooms for remote participants, and setting up the calls from various locations.
- Show up at your site 5-10 minutes earlier than your scheduled start time. Hit the OK button on the Tandberg remote to wake up the monitor(s). The conference will start automatically at the specified time.
- At OUP, turn on the overhead projector with the remote.
- Make sure that you have the following
items ready and tested if you plan to use any of them during your videoconference:
- Your laptop is hooked up to the overhead projector at OUP or to the Tandberg codec in Gruening
- Your laptop is hooked up to the SMART Board at OUP
- DVDs or VHS tapes are inserted into the player and the player is on
- When you first connect, your local mic may be muted. Click the yellow Mic Off button on the Tandberg remote to unmute the mic when you are ready to begin speaking.
- When your conference is over, click the red Hang Up button on the Tandberg remote. Do NOT turn off the plasma monitor or the Tandberg camera. They will go into sleep mode by themselves after a while.
- If you were using the overhead projector/SMART Board at OUP, make sure and turn it off.
Call VCS at (907) 450-8390 (or 1-800-910-9601) during your conference if you run into any problems. There is always a technician there during a scheduled conference.
